PA / Office Manager - Oxford office

Are you an experienced PA/Office Manager looking for an exciting and challenging opportunity? Do you enjoy working with a great team of people and want the opportunity to use your initiative?

If so, we could have the perfect role for you. We are Shaw Gibbs, a leading independent accountancy, financial services and insolvency practice with offices in London and Oxford. We are currently recruiting for a PA/Office Manager, to provide PA and Practice Management Admin support to the Managing Director as well as ensure the smooth management of both our offices on a day to day basis. Based in our Oxford office, with occasional travel to London, this is a great opportunity to join one of Oxfordshire’s leading accountancy and business advisory practices.

About You

We would like to hear from you if you are an experienced PA and Office Manager, with a background in SME’s and can tick all of the below:

  • Highly efficient, with the ability to work well in a busy and sometimes demanding environment.
  • Are assertive, confident and comfortable with chasing senior members of staff for progress updates
  • Not afraid to be hands on when needed and a strong problem solver
  • Have a solid understanding of the SME environment, ideally within professional services
  • Have an aptitude for IT, specifically experience with Excel and bespoke software for reporting purposes
  • Are able to create a positive impression with clients and staff
  • Are a good communicator (both in writing and verbally) and confident in handling complex situations.
  • Are positive, enthusiastic and outgoing in nature,
  • Have excellent team working skills and able to use own initiative
  • Have the ability and willingness to travel to London on a regular basis

The Role

We are looking for an experience PA/Office Manager with at least two years’ experience in a similar role to provide a proactive and comprehensive PA Support to the Managing Director, as well as oversee the Facilities function and manage the Admin Team. 

Your core responsibilities will include:

  • Proactively managing the diary of the MD, making and confirming appointments and ensuring all necessary paperwork is prepared relating to those appointments/meetings
  • Monitor, track and respond to emails
  • Providing a full administrative support
  • Scheduling Practice meetings and follow up meetings which MD needs to attend
  • Writing reports, produce presentations
  • Ensure weekly/monthly management reports are received on time
  • Proactively chasing actions from meetings by following up with designated owners of actions
  • Overseeing the Facilities function within both offices in consultation with the administrators
  • Being responsible for Health and Safety, ensuring both offices are compliant to regulations
  • Managing the admin team, ensuring high levels of customer service are maintained at all times
