Trainee Payroll Assistant and Bookkeeper

If so, we could have the perfect role for you. We are Shaw Gibbs, a leading independent accountancy, financial services and insolvency practice with offices in Oxford and London’s West End. We are currently recruiting for the dual role of Trainee Payroll Assistant/Bookkeeper within our Business Services division based in our Oxford office.

About You

We would like to hear from you if you are a quick learner and can tick all of the below:

  • Are educated to A ‘Level (or equivalent standard)
  • Have an aptitude for IT, specifically Excel
  • Are able to create a positive impression with clients and staff
  • Have exceptional attention to detail
  • Are a good communicator (both in writing and verbally)
  • Are positive, enthusiastic and outgoing in nature, but able to work within procedures on job aspects which will deal with facts, standards and quality
  • Have excellent team working skills and able to use own initiative
  • Work experience would be an advantage but not essential

The Role

This role will be spilt so that the successful candidate works alongside our experienced Payroll Bureau Manager for 2 weeks per month and then provide a bookkeeping service to our clients for the rest of the month.

Full on the job training and support will be given to develop your skills and abilities for a long-term career within Shaw Gibbs. 

The role of Bookkeeper

The successful candidate must be able to prioritise and organise their work load as a majority of duties will require them to pick up and put down accounting records from a variety of clients.

Other responsibilities include:

  • Working on a portfolio of client accounts
  • Sales ledger processing.
  • Produce monthly management accounts up to trial balance
  • Purchase ledger processing including supplier statement reconciliation
  • Prepare & process expenses claim forms for cash expenses
  • Reconcile, match and process business credit card statements
  • Process monthly journals such as payroll, depreciation, accruals and prepayments
  • Undertake bank reconciliations
  • Preparation of VAT calculations and VAT returns
  • Maintenance of fixed asset registers

The role of Payroll Assistant

Provide assistance to payroll team and general administration to assist in.

  • Process payrolls monthly, quarterly or yearly basis (or as directed) for a range of clients of various sizes and from a diverse range of businesses
  • Process starters and leavers, calculating statutory payments, RTI submissions, Pension Deductions etc.
  • Preparation of P45s, P60s, Starter Declarations and other relevant forms as required
  • Communicate with clients, other staff, Directors and the H M Revenue & Customs
  • Support clients in the day to day running of payroll systems
